| How do I rent the Aspray
Boat House?
The Aspray Boat House is available for rental by sending an e-mail inquiry to: AsprayRentals@gaspee.org. If your choice of date and time is available, you will then need to submit the Aspray Boat House Use Agreement and fees to secure the date. But first, you must read through this entire list of FAQ below before you access the necessary form. If you agree to the terms, click here to access the Agreement form. How much does it cost to rent the Aspray Boat House?
The City of Warwick, as owner of the building, now requires all renters to secure liability insurance.Where can I obtain liability insurance? We suggest the following three insurance companies:How much insurance do I need to carry? The Gaspee Days Committee requires a minimum policy of One Million Dollars ($1,000,000) for one day event insuranceHow do I send you my proof of liability insurance? We must receive your Certificate of Insurance via US Mail only, within two weeks after the Gaspee Days Committee confirms receipt of the rental fee. Address the COI to: Who manages the Aspray Boat House? The Aspray Boat House is managed by unpaid volunteers of the Gaspee Days Committee. The Gaspee Days Committee works in cooperation with the City of Warwick but our members are not City employees. Management and response times for events are based on schedules for our available volunteers. Under the cooperative arrangement with the City of Warwick, the Gaspee Days Committee contributed its endowment funds to the restoration project in 1994. We are also responsible for the considerable ongoing costs of all interior maintenance and cleaning. Any excess funding is reassigned towards operating the Gaspee Days Parade (a $50,000 yearly expense) and our many other community activities. When can I expect a response to my reservation request? Within one week via e-mail under usual circumstances. Regular mail, well, takes longer. How do I get the key?  We have installed a lock box by the side door of the Aspray Boat House. Flip down the combination cover, dial in the code which will be assigned to you via e-mail. Push the black button on the left down to open the box. Take the key from inside and close the lock box securely. When finished cleaning, return your key in the same manner. Please note. A lost key or an unauthorized resetting of the key lockbox combination will result in a forfeiture of the security deposit, prohibition from further use of the Aspray Boat House, and possible further actions. What is the capacity of the Aspray Boat House? The City of Warwick Fire Marshal has determined that the limit of 56 persons in the main meeting room is not to be exceeded. Of course, during the summer you might have many more guests milling about on the outside, but there should not be any more than 56 persons in the meeting room at any one time. The meeting room itself is 23 x 37 feet, or approximately 850 square feet of floor space. For what time of day can the building be reserved? From 9 am to 9 pm. City of Warwick ordinance limits the closure time to no later than 9 pm. Unfortunately, no. Building security concerns and maintenance-cleaning schedules dictate that we cannot allow access the night before your event. What else is provided for use with the rental?
Yes, but use caution and common sense. You may not move or remove any of our framed posters and art prints that are hanging on the walls. There are hooks provided around the perimeter of the meeting room in the window wells. Any damage to the painted walls from tape, tacks, etc will result in the forfeiture of your security deposit, and possible other actions. What are the items I need to bring to the Aspray Boat House? Table linens, plateware, cookware as appropriate for the occasion, and cleaning supplies. If you are hosting a particularly large event consider bringing along extra trash bags and toilet paper. Decorations are optional, of course, and do be careful not to damage the room in any way. You are also advised to bring your own entrance mat to use at the foyer for your guests to wipe their feet; this will make your clean-up much easier. What do I have to do after completion of my event at the Aspray Boat House?
Can I serve liquor to my
guests at the Aspray Boat House? It
is the official policy of the Gaspee Days
Committee that individuals and groups renting
the Aspray Boat House may not use or consume
alcohol on the premises. The City of
Warwick, however, does allow consumption of
alcoholic beverages within the Aspray Boat House
building or grounds upon obtaining all applicable
permits and licenses from the City of Warwick
Police Department – Board of Public Safety.
Any properly licensed group or user
renting the Aspray Boat House that serves alcohol
during an event does so at their own peril, and
subject to the laws of the City of Warwick and the
State of Rhode Island. The user is
responsible for the conduct and actions of their
guests. No. Since the building is owned by the City of Warwick, there is no smoking allowed inside a municipal building. If guests smoke outside, please remind them to dispose of butts properly and not litter. Can I have music at my event at the Aspray Boat House? Music is allowed within the constraints of the municipal ordinances of the City of Warwick until 9 pm. Excessively loud music disturbing to our neighbors at any time is not allowed. Can I enter through the parking lot door to the Aspray Boat House? No. The key you are given opens only the side door. The West room is reserved exclusively for the use of the Gaspee Days Committee and contains materials used for our Gaspee Days Events. It can be a dangerous area with stuff packed up high. Can I dock my boat at the Aspray Boat House? Not for long. This is a City of Warwick municipal dock, and boat usage is limited to 30 minutes, just enough time to load or unload passengers. The dock is seasonal, and is placed in the water only during the warmer months. Yes, this is a City of Warwick municipal facility, but do note that it is currently in a state of disrepair. Boat launches and retrievals should be brief and take less than 15 minutes. We request that if you need to park your vehicle and boat trailer that you utilize the spaces to the West, high up in the lot alongside Narragansett Parkway. Can I reserve the parking lot of the Aspray Boat House? No, again, this is a City of Warwick municipal parking lot. We cannot guarantee lot space, but the lot can accommodate approximately 30 cars. Bear in mind that adequate clearance MUST be retained at all times for boat launching and retrieval operations from the adjoining boat ramp facility Can I reserve Pawtuxet Park and/or the gazebo that adjoins the Aspray Boat House? Not really. We can acknowledge your request for a time slot but, Pawtuxet Park and the gazebo are owned and maintained by the City of Warwick Parks and Recreation Department. Courtesy of the City of Warwick, there is no charge for reservations of Pawtuxet Park itself or its gazebo by itself, but you must clean up after the event. Please also realize that you may not prohibit the public from using the Pawtuxet Park during your event, unless you have received specific permission from the City of Warwick to do so. The purpose of the reservation process of Pawtuxet Park and its gazebo is only to prevent conflicts in scheduling. If you are having a particularly large or important event at the Aspray Boat House or at Pawtuxet Park you should specifically mention this in your reservation request to ensure that there will be no conflicts encountered. Can I access the electrical boxes in Pawtuxet Park? It depends. There are two electrical panels with limited capacity in the Park, one located near the southwest corner of the Park, and one at the gazebo itself. The user desiring electrical access must coordinate well in advance with Warwick DPW personnel (Monday-Friday) at 738-2000 ext 6518 or ext 6349. These arrangements are the sole responsibility of the Pawtuxet Park user. Note that Warwick does not guarantee electrical service being operative, and the user assumes ALL RESPONSIBILITY for the hazards of any electrical hook-ups. Can I use the outside water faucets of the Aspray Boat House? Possibly, but this would require specific arrangements ahead of time with the Gaspee Days Committee, and would not be allowed in winter conditions. Can I weed the side garden and put in plants or flowers for my special event? You are welcome to remove those growths that are truly unsightly weeds. Any plantings become the property of the City of Warwick. An alternative would be to arrange for potted plants to be placed at various areas around the Boat House exterior, which you can then take back with you. Can we feed the ducks and swans? No. Technically it is illegal to feed wildlife, besides which they soil the brick patio, hiss loudly, and bite on a regular basis. Are there any multimedia services available?
In cases of snow or flooding, the City of Warwick is responsible for maintenance of the outside of the Aspray Boat House, the adjoining sidewalks, parking lot, and Pawtuxet Park.What's the fine print?
